TERMS AND CONDITIONS OF INCA EXPEDITION PERU E.I.R.L.
1. ACCEPTANCE OF TERMS
When contracting the services of INCA EXPEDITION PERU E.I.R.L. (hereinafter, “the Company”), the client accepts these terms and conditions in their entirety.
2. RESERVATIONS AND PAYMENTS
- Reservation: To confirm a reservation, an initial payment of 30% to 50% of the total tour cost is required, through our authorized payment methods (credit/debit cards, bank transfers, PayPal, etc.). The remaining balance must be paid in cash (US dollars) or by credit/debit card upon arrival in Peru.
- Required Information: To process the reservation, the following information is needed for each passenger: full name, passport number, nationality, date of birth, gender, and any relevant information regarding allergies, medical conditions or dietary preferences.
- Confirmation: Once the initial payment has been received, the client will receive a reservation confirmation by email, which will serve as a guarantee of the reservation. It is recommended that you review the confirmation carefully and respond with any clarifications.
- Accommodation: Accommodation confirmation is subject to availability. If there is no availability in the specified hotel, an alternative of similar category and price will be offered.
- Last Minute Reservations: The Company may accept last minute reservations (24 hours before arrival), under special conditions that will be communicated and agreed upon by email.
3. CANCELLATIONS AND REFUNDS
- Cancellations by the Client:
- 30 days or more before the start of the tour: 30% will be retained of the deposit.
- 25 to 16 days before the start of the tour: 50% of the deposit will be retained.
- 15 to 7 days before the start of the tour: 80% of the deposit will be retained.
- 6 to 0 days before the start of the tour: 100% of the deposit will be retained.
- Inca Trail Cancellations: Payments for the Inca Trail (4D/3N, 2D/1N, 5D/4N, Salkantay, etc.) are non-refundable due to the policies of the Ministry of Culture and service providers (porters, cooks, trains).
- Cancellations due to Force Majeure: In case of cancellations due to force majeure (social conflicts, natural disasters, pandemics, etc.), the option to reschedule the tour will be offered without additional charges, subject to availability.
- Refunds: Refunds will be made. They will be made through the same payment method used for the reservation. Processing times may vary depending on the service provider (trains, hotels, flights).
- No Show: In case of no-show for the tour, the full amount will be withheld and no refunds will be made. A certificate may be issued for travel insurance purposes.
4. CHANGES AND MODIFICATIONS
- Date Changes:
- 20 days or more before the start of the tour: Date change is allowed without charges additional, subject to availability.
- 15 days before the start of the tour: A penalty of USD $50 per person will be applied, plus additional charges from suppliers (hotels, trains, admissions).
- Itinerary Changes: The Company reserves the right to modify the itinerary for reasons operational, weather conditions, or force majeure, always guaranteeing safety and the best development of the trip.
- Changes on the Inca Trail: The Inca Trail permits are not modifiable or transferable. Purchase of a new permit will be required in the event of a date change, subject to availability.
5. PRICES AND RATES
- All prices are expressed in American dollars (USD).
- Prices may vary on holidays (Easter, Christmas, New Year).
- Prices include services specified in the itinerary (accommodation, transfers, excursions, guides, entrance fees).
- Prices do not include personal expenses (tips, airport taxes, flights, excess luggage).
- Any change in passenger information (names, passports) may result in penalties imposed by suppliers.
6. ITINERARIES
- The itineraries are basic guides and may be subject to change for operational reasons or force majeure.
- The Company is not responsible for delays or cancellations due to flights, social conflicts, weather, road blockages or others events beyond your control.
7. DOCUMENTATION AND VISAS
- It is the client’s responsibility to have the necessary documentation and visas to enter Peru.
- A copy of personal documents (passport, DNI) will be required for administrative purposes.
- Foreign tourists can stay up to 183 days in Peru.
8. TRAVEL INSURANCE
- It is recommended to take out travel insurance that covers cancellations, accidents, medical expenses and loss of luggage.
- The Company is not responsible for medical expenses or accidents during the trip.
9. LIABILITY
- The Company is not responsible for injuries, illnesses, damages, losses or delays caused by third parties or force majeure events.
- The Company reserves the right to modify or cancel a tour if it deems it necessary for the safety of customers.
10. RENTAL EQUIPMENT
- Equipment rental (sleeping bags, walking sticks, etc.) is charged per day of the tour.
- The client is responsible for any damage or loss to the rented equipment.
11. AGE POLICY
- People over 60 years of age are recommended to present a medical certificate of fitness for the trip.
- Minors under 18 must be accompanied by a responsible adult.
- A valid student card is required to apply student discounts.
12. FORCE MAJEURE
- The Company is not responsible for force majeure events (conflicts, disasters, pandemics) that affect the trip.
13. APPLICABLE LAW
- These terms and conditions are governed by the laws of Peru.
